HR Responsibilities

  • Policy Implementation: Oversee and ensure compliance with company policies and procedures.
  • Process Improvement: Identify and propose enhancements to HR processes and operational workflows.
  • Recruitment Support:Coordinate recruitment, including job advertisements, candidate background checks, screening, interview scheduling, offer letters, and follow-ups.
    Manage the onboarding process for new hires to facilitate smooth integration.
  • Employee Records Management: Maintain accurate employee records and ensure proper documentation for government statutory reports (Income Tax, EPF, SOCSO).
  • Employee Relations: Address employee queries, resolve concerns and conflicts, monitor attendance, and track leave requests.
  • Performance and Development: Identify, coordinate, and assist in performance review management and employee training programs.
  • Payroll Management & Employee Claim: Prepare and process monthly payroll, ensuring accuracy in salary revisions, new hires, terminations, leave records, and employee benefits.
  • Ensure timely submission of statutory payments (EPF, SOCSO) and payroll reports.
  • Administer year-end reporting such as E form filing and EA form distribution.
  • Manage employee medical claims and other benefits.
    Participate in payroll-related projects and integration tasks as assigned.
  • Employee Benefits Administration: Manage medical insurance, retirement benefits, and related claims, including annual renewals.
  • Visa and Work Permit Applications: Process employment and dependent visa applications for expatriates and ensure proper documentation for Sabah work permits and Malaysia employment visas.
  • Documentation Preparation:Prepare official letters such as offer letters, verification letters, increment letters, and contracts.
    Issue invoices for overseas contract staff.
    Develop and maintain an efficient documentation and filing system.
  • Auditor Liaison: Liaise with internal and external auditors and close any findings in a timely manner.
  • General HR Duties: Manage leave requests, conduct exit interviews, and ensure employee documentation is up-to-date.
Admin Responsibilities:
  • Travel Arrangements: Coordinate travel, visa, and itineraries for offshore operations and employee travel, including the Special Work Permit (SWP).
  • Event Management: Organize and participate in company events, including staff engagement and customer-focused activities.
  • Office Administration:Oversee general office operations, including repairs, maintenance, and coordination with building management.
    Purchase and manage office supplies, including pantry stock.
  • IT Asset Coordination: Document and track IT assets, ensuring proper maintenance and updates.
