· Follow up on debtor’s outstanding through calls, emails & visits (Assigned estimation of 150 customer/s per month)
· Send Statement of Account by email to customer’s, monthly and as and when customer request to highlight on the outstanding matter’s as well as to confirmed on invoice’s received
· To effectively identify disputed invoice’s, claims and check with respective person to resolve. Propose for CN or DN when necessary.
· To do reconciliation of accounts with customer’s timely to ensure all invoices received and to tackle any pending issue’s for regularize the account.
· To visit customer for account reconciliation as and when necessary
· To send Letter of Reminder to customer who have overdue/exceeded credit limit/term and continue with follow up and if still no respond or payment from customer, to alert the HOD to suspend the account and continue with further action.
· To closely liaise with operation/sales & billing team for any discrepancies that may arise
· Vet through invoices & supporting documents for legal purpose (obtain Job folder’s from QDC department)
· Checking of Credit Application Form (CAF) & Debtor Code Request and to approve in system once code is created upon management’s approval
· Creation of debtor code in Management system as and when required
· To trigger respective Sales PIC on the new customers who may have legal background or poor financial background before proceeding for Debtor account creations.
· Timely check on the CASH account customer’s and inform respective PIC to get the payment immediately for customer’ who may delay in making payments.
· To update finance team on the provision of bad debt’s as and when necessary
· Weekly meeting with superior to updates and brief on the aging report and status of debtors outstanding. To discuss on current debtor’s account status and seek for advice on the further actions.
· Monthly KPI report
· Oversee on the outstanding of Custom Duty for customer’s and inform PIC to follow up accordingly.
· To supervise and guide junior staff and ensure workflow done for daily and monthly basis
· To attend customer queries
· Preparing of Tenancy Agreement (Renewal & New)
· Monthly billing of rental and service charges
· Distribution of invoices for all companies (within organization & external tenant)
· Follow up payment
· Capturing of payment (Cheque and cash transfer)
