RECRUITMENT

  • Assist in recruitment including advertise job vacancy at platform (Myfuture Job/ Jobspost) and arrange for the interview.
  • Handle new joined (staff and workers) on board including induction, PPE distribution and purchasing and arrange their accommodation.
  • Register thumbprint at office and site
  • Prepare agreement of contract

TRAINING

  • Handle training under TNB Project site (NTSP/NTLSP/AESP)
  • Arrange training for company CIDB upgraded

STAFF WELFARE

  • Bring workers to the hospital if have an emergency case.
  • Handle hostel and cabin for workers including repairing and complaining.
  • Handle renovation of office
  • Monitor and request meal allowance for workers
  • Arrange office cleaning items/ Stationery/ groceries
  • Arrange grab for workers if company cannot provide the transport

ATTENDANCE

  • Monitor time attendance device.
  • Update daily attendance site during meeting

ACCOMMODATION

  • Searching accommodation for staff if start new project
  • Handle utility bills for hostel and office
  • Lease with landlord for any matters
  • Do inspection hostel and handover the unit to landlord

TIMESHEET AND LEAVE RECORD

  • Update and handle leave records for all staff
  • Prepare timesheet (time attendance) for all staff and workers (200 people) and submit to payroll department for processing (salary process)

PASSPORT/ PERMIT/ CIDB

  • Monitor CIDB card expiry date and make renewal.
  • Monitor visa and passport expiry of all workers.

MANPOWER

  • Update manpower list
  • Handle the manpower supply include workers in and out, timesheet and their invoices.
  • Communicate with agent for workers issue / salary issue

MEDICAL

  • Handle medical for all staff and workers (do balance records)
  • Communicate with clinic for the FOMEMA arrangement

TRANSPORTATION

  • Arrange driver and transport for workers and staff if necessary (go to immigration/ airport/ embassy)
  • Arrange company vehicle (update records of using/ service)
  • Arrange vehicle for site visit/ travelling for staff
  • Looking for transport (trailer / low bed/ crane) for demobilize and mobilize site)

COMPENSATION AND BENEFIT

  • Handle SOCSO claim for staff.

ACCOUNT

  • Handle petty cash.
  • Request fund to the account department for payment
  • Arrange bills/ prepared summary and submit to HQ
  • Arrange invoice from supplier
  • Preparing budget and costing/ expenses (diesel usage / machinery/ materials/ accommodation/ transportation)
  • Assist in pay salary workers cash (packing salary and handover to workers either at office or site)
  • Assist in change the currency for foreign staff

DOCUMENT CONTROLLER

  • Act as a document controller by sending a letter/document to the Main Contractor of project, do records and compiling the document.
  • Prepare minutes of meeting and email to related staff

PROCUREMENT

  • Assist in searching supplier to purchase the site materials
  • Order the materials based on site request
  • Arrange the payment and collection/delivery

IMMIGRATION

  • Assist in immigration matters
  • Assist in ESD process including preparation of documentation.

RESERVATION

  • Make booking / reservation for flight, train and hotel for managing director/ staff
