1. Assist Building Manager’s in total.
· Responsible to keep track on maintenance of security, cleaning service, lift and elevator system, fire alarms system, waste disposal, landscaping and air Cond.
· Responsible to collect and compile monthly service report for payment purposes.
· Liaising between landlord, tenant & contractors to solve complaints, problems and issues.
· Liaising with tenants for maintenance work and attend to walk in residents/tenant complaint, visitors, contractors and service providers.
· Prepare complete documents for monthly report – report to BM and chairman of WCMC.
· Responsible to promptly execute all servicing, maintenance and repair activities in line.
· To keep track and monitor on-going work or repair, servicing maintenance works done in manner time given with maintenance staff or contractors/suppliers, as well as payments to vendors.
· Liaise with owner/tenant for work permit application, moving “IN’ and “OUT”, access card application, water supply and electricity meter reading, advertisement & promotion and common area in Wisma Cosway.
· Responsible to ensure systems and services under management are consistently up to code in line with by-laws, relevant Codes of Practice, and statutory legislations.
· Assist in preparation of annual budgets and periodic reporting.
2. Handling administrative operations in the company.
· Responsible in all administrative duties such as attending calls, filling, scanning, photocopying, data entry and document circulations.
· Responsible to ensure proper record keeping of all contracts, manuals, drawings, databases and service reports.
· Managing of staff in correspondence relating to vacation entitlement, leaves of absence, employee evaluations, attendance occurrences and OT to HR.
· Handle procurement, purchasing PO/PR, preparing tender document, Instructing and coordinates approved contractors for maintenance and major works.

3. Support leasing related activities
· Responsible to plan, promote, assist to lease out, secure and monitor occupancy of the company’s properties, review and negotiate lease transactions and agreements.
· Prepare tenant lease documents, including letter of offer, tenancy (common area) agreement, advertisement and promotion (bunting & banner) agreement, water supply agreement, management reports and other related documentations.
· Assist on leasing related matters including rental and deposit collection, operations and other ad-hoc matters that may arise from time to time.
