Customer Care Executive

  • Main responsibilities and duties involved in the processing of orders, from receiving and validating orders to fulfillment and invoicing.
  • Responsible countries: Malaysia, Singapore and Philippines.
  • Handle incoming orders, day to day Purchase Order (PO) from salespersons by ensuring all orders are captured in the system (Oracle OIB)
  • Initial Order Verification: Review/verify that all necessary order data is accuracy and completed (customer info, product codes, quantities, pricing, shipping information and etc).
  • Perform initial checks on customer account status (e.g., credit limits, payment terms).
  • Ensure that all compliance and regulatory checks are met (if applicable).
  • Coordinate with internal department (Purchasing, Warehouse, Logistics teams) to ensure sufficient stock for order fulfillment and to proceed with the shipping.
  • Monitor the status of order fulfillment and ensure timely dispatch.
  • Generate and issue invoices based on the order details (correct pricing, taxes, and discounts applied).
  • Follow up on outstanding payments or discrepancies in payment.
  • To perform/process proforma invoice, invoice, return order, credit note (if any).
  • Customer Notifications: Notify customers of order confirmation (received PO), delivery/shipping status, and tracking information and provide clear communication regarding backorders, delays, or any issues affecting the order.
  • Problem Resolution: Address customer inquiries and complaints related to order issues, delivery problems, or payment discrepancies.
  • Work with the sales team or customer service to resolve complex customer issues.
