Schedule and coordinate appointments, meetings, and conferences for the Director & GM., Manage and prioritize calendar entries, ensuring optimal use of time & resources., Act as a liaison between the Director & GM, and internal/external stakeholders., Draft, proofread or edit correspondence., Maintain an organized and efficient office environment., Handle incoming calls, emails, and other communications on behalf of the leadership team., Monitor the company & outlets handphone line usage & contract renewal issue with vendor., Monitor 37 outlets & HQ property & staff insurance for renewal & claim issue., Record minutes & action items during meetings and follow up on outstanding tasks., Prepare agendas, presentations, and necessary materials for meetings., Handle sensitive information with discretion and maintain a high level of confidentiality., Handle HODs performance appraisal results for yearly bonus/increment purpose., Entrusted to manage confidential and sensitive matters., Assist in managing & prioritizing tasks for the Director & GM., Track deadlines and ensure timely completion of assignments., Participate & monitor R&D + Marketing yearly roadmap planning., Study & survey new merchandiser or OEM products item & cost to make sure align with the roadmap planning., Participate & monitor HQ hiring with HR dept., Conduct final interview to filter till the end & finalize to top management for hiring proposal., Review HR policies & employee handbook., Monthly update HQ headcount & organization chart to report to Japan office., Conduct counselling session to staff when necessary., Participate on new outlet opening, renovation drawing, discussion with mall PIC for rental renewal etc during the absence of the department head.
