Overview:
The Recruitment Resourcing and Contract Administration is a key player in our HR team, responsible for managing the end-to-end recruitment process, overseeing resourcing strategies, and handling employment contracts and related administrative functions. This role ensures that we attract, hire, and retain top talent while maintaining compliance with employment laws and organizational policies
(Recruitment & Resourcing)
• Responsible for assisting the Human Resources Department in all Recruitment, Resourcing
and Contract Administration matters.
• Submit Request for Recruitment (RFR) via SuccessFactors (SF) for vacant, and
replacement positions for specific department and section with all supporting documents i.e
Approved memo, Job Description and Job Requisition details.
• Screening incoming CVs and providing shortlists of qualified candidates to hiring managers.
• Conduct interviews and assess applicants’ relevant knowledge, skills, soft skills, experiences, behavioral and cultural fits.
• Prepare salary proposal template for successful candidate and proposed to Head of HR and Department Head for their approval.
• Responsible for pre-employment screenings and pre-employment medical check-ups for potential candidates.
• Prepare an offer letter and contract of employment and obtain signatories.
• Verbally share the approved offer package to candidate and negotiate with successful candidate.
• Assist in arrangement of new hires induction and exit clearance.
• Being a focal person for New Hire Induction, liaise together with IT, CGBE and SSHE team for
new hire induction.
• Coordinate payment & prepare claims for interviewees and payment to Recruitment Agency for the success of candidate provided.
• Data entry of new hire into SAP SuccessFactors system.
• Provide analytical and well documented recruiting reports to the rest of the team i.e. Payroll team, HRBP and Shared Services team for Insurance registration of the new hire.
• Headed campus recruitment campaign with 2 job fairs at the University of Petronas, University Technology MARA, sourcing for technical Graduates i.e. Geoscience, Drilling, Petroleum Engineering and etc.
Headed to Career Fair for several times at Kuala Lumpur & Sarawak state for Employer Branding.
(Contract & Administration)
• Monitor contract expiry date for Contract National and ensure new contract, work order or
notice of contract expiry issues prior to contract expiration.
• Prepare Employee Movement Form and Letter for Contract National movement.
• Prepare announcement for employee movement, employee end of contract, new appointment
and new hire and seek approval from Head of HR and Administration.
• Data entry of employee movement into SAP SuccessFactor system.
